Privacy Policy

This privacy policy explains what personal data is collected through the EYC 2026 website and admin portal, why it is collected, how it is used for organising the 2026 European Youth Championship, and when it is deleted.

1. Who is responsible for the data

Personal data submitted through this website is processed for the organisation and administration of the 2026 European Youth Championship in draughts. The data is handled by the event organisers and authorised staff working on registrations, accommodation, invoicing, logistics, and competition administration.

2. What data we collect

Depending on the user role and the services used, we may collect and process the following data:

  • Invoice-related data such as federation or recipient name, billing address, invoice line items, invoice status, and payment follow-up information.
  • Technical and security data that is necessary to operate the admin portal, such as login timestamps, invitation tokens, and privacy-policy acceptance timestamp/IP when a user activates an account.

3. Why we collect this data

The data is collected strictly for the practical organisation of the 2026 European Youth Championship, including:

  • Managing official player registrations and eligibility.
  • Organising accommodation, arrivals, and guest logistics.
  • Preparing and tracking invoices related to inscription fees and accommodation.
  • Maintaining communication with delegates, officials, and authorised event staff.
  • Ensuring administrative accountability, security, and correct handling of registration-related actions.

4. Legal basis for processing

Personal data is processed because it is necessary for the legitimate organisation and administration of the championship and for carrying out the registration, accommodation, and invoicing workflows required for the event. Where account activation is required, the user must also explicitly acknowledge this privacy policy before setting a password.

5. Who can access the data

Access is restricted to authorised users of the event management system, such as administrators and specifically authorised staff roles, and only to the extent necessary for their operational duties.

6. Data retention and deletion

The personal data collected through this website is retained only for as long as necessary to organise and complete the 2026 European Youth Championship and the directly related administrative follow-up.

After the event has taken place and the related administrative work is completed, the personal data collected for registrations, accommodation, and portal access will be deleted from the operational system, unless a shorter or longer retention period is required by law for a specific accounting or legal obligation.
